Kick-Off party, volunteer requirements, golf scramble, and practices

Hello Everyone!  

Some notes:

1. In case you did not know, we have a fundraising golf scramble on Friday, June 16th  Gather your foursome and head out to Glen Oaks. But be sure to contact Kyle Dawkins first: [email protected] or call/text at 502-396-9159  

Consider sponsoring a hole while you are at it. 

2. Kick-off Party will happen tomorrow evening from 6-8.  If the pool is open, we will be on the deck. If the pool is closed--well, party at the playground! DJ starts at 6. BYOB for children and adults.

Great news! Jets Pizza reached out to swim board President Josh Cummins and have asked to sponsor our swim team. They are donating the pizza for dinner tomorrow night!  Please support this Middletown business who is doing so much to support Predators swimming! 

3. If the pool is up and running, pool practices begin on Saturday morning, but the next one will not be until Wednesday evening (regular morning practices start June 5th). Practice schedule is on the Owl Creek swimtopia page. 

4. Volunteer requirements update from Holly Wegley:

Volunteering

  • It is required for each participating swimmer to have an adult volunteering at each meet. This is how we ensure the meets run successfully!
  • Check-in at the volunteer table upon arrival to the meet.

All job assignments will be for one half of the meet.

  • If parents are unavailable to volunteer, any adult or responsible teenager may fill the assigned role.
  • Volunteer availability should be declared when declaring swimmers.
  • If availability is not declared, you will be assigned a role. In the event you are unable to fulfill the assignment, it will be your responsibility to find a replacement.

To declare yourself unavailable:

  • 1.Log into Swimtopia
  • 2.Click on 2023 Events and Swim Calendar
  • 3.Click on Upcoming Meet “Sign up for jobs”
  • 4.Select "unavailable". If you’re unavailable for one half but can volunteer the other, please specify that.

Volunteer Role Descriptions

Certified Stroke and Turn Official: Monitor swimmers to ensure all rules are followed during the events, including proper stroke technique.

Certified Computer Scorer: Input swimmers’ times into the computer, score the results and post on the wall.

Meet Set Up: Set up tents prior to the meet and prepare the team area for the meet.

Ribbon Table: Take the labels printed by Computer Scorer, place them on ribbons and sort the ribbons into team boxes during the meet.

Lane Timers: Sit at the end of lanes and time races. They start the time with the light on the starters stand and stand up at the end of races to watch their lane’s swimmer finish and stop the time.

Place Judges: Sit at the finish end of the pool and write the order that each lane finishes. These are used in the event that there is a dispute about the timers’ times.

Age Group Parent/Clerk of Course: Age group parents are expected to keep their age group together, line their swimmers up for events, take them to the start of their races and make sure they start their race in the correct lane at the correct time. These volunteers will be provided with an attendance sheet at the beginning of each meet with all the swimmers names and events. They will write the swimmers name and LSA number on their back and their events on their arm. They check all of their swimmers in and report absences to the coach.

Heat Ribbons: Stand at the finish end of the pool and give a ribbon to the heat winner for 6U, 8U, and 10U.

Hospitality: Pass out water to volunteers.

Take Down: Take down tents and equipment and tidy pool deck after the meet.

Concessions: Serve food, drinks, snacks. Collect payment including charge slips for Owl Creek resident accounts.
